Electronic visit verification (EVV) is no longer optional for home care agencies in Michigan that serve Medicaid clients. Michigan EVV became mandatory in October 2024, and though the process has not been fully rolled out as of yet, agencies that bill Medicaid must be collecting EVV data at this time.
Rosemark has been working with our partners in Michigan to ensure these new changes around collecting EVV are easy for our agencies and their caregivers. We’ve worked hard to create an EVV integration that is seamless so our agencies can send their EVV data to the state and get reimbursed for Medicaid services in a timely manner.
Do you have questions about Michigan EVV? If so, you’re in the right place. Let’s go over some details.
What’s happening with Michigan EVV?
The state of Michigan has chosen HHAeXchange to be its aggregation vendor. HHAeXchange acts as a data warehouse on behalf of the state. Essentially, this means that when home care agencies send in their EVV data, HHAeXchange stores it in a digital warehouse.
Michigan also has an open vendor model, meaning agencies can use vendors such as Rosemark to capture their EVV data. A home care agency can work with any software partner that collects all the necessary data required by the state and integrates with HHAeXchange.
What are the key pieces of data?
- Type of service performed
- Name of the client receiving the service
- Service date
- Location of client service
- Caregiver’s name
- Visit start and end times
Do I Need to Use EVV?
While Rosemark recommends all agencies, regardless of payer type, use EVV for transparency and efficiency, only agencies that bill Medicaid are required to use it.
That being said, for home care agencies that bill private pay, long-term care insurance, workers’ compensation, or the Veterans Administration, EVV can have a huge impact on your workflows, billing, and caregiver oversight.
Below is a list of Michigan Medicaid programs that require Michigan EVV as of 2024:
- All Behavioral Health Plans
- MI Choice
- MI Health Link
- State of MI Home Health
- CHCP
Your agency may also be required to submit Michigan EVV depending on HCPCS billing codes within your program. For more info, click here.
Do I Really Have To?
Yes. While the rollout will take some time, it is crucial you follow all compliance regulations for the state of Michigan.
Why?
- So your agency can continue to have uninterrupted reimbursements from the state.
- So you feel comfortable and confident moving forward into 2025.
What Should I Do?
The first step to staying compliant with Michigan EVV is to make sure you have a compliant EVV software partner. If you’re not sure if your current software provider can integrate with HHAeXchange, you should reach out to your software provider and ask. You don’t want to be caught unaware and unknowingly be out of compliance.
For agencies who are not currently using an EVV software, now is the time to do so. Rosemark staff would be happy to chat with you about EVV compliance, how software can help improve data management, and how your agency can thrive with more optimized workflows.
HHAeXchange is the State of Michigan’s Aggregator. Should My Agency Use it for EVV?
HHAeXchange’s main focus is providing data aggregation and data warehousing for the state.
Rosemark is interested in you and invested in your agency’s success. We want to make sure your agency has the best software experience possible and that you reach your business goals.
Instead of being a “typical” vendor, Rosemark strives to be your partner. And yes, there’s a big difference!
The Benefits of EVV
If you’re already keeping an eye on caregivers to make sure they’re showing up to their shifts and clocking in and out on time, adding EVV shouldn’t be a heavy lift.
In fact, using EVV for your Michigan home care agency has some great benefits. EVV can:
- Help your agency become more organized
- Make your staff able to handle compliance issues more efficiently
- Provide reports that can help your agency make important operational decisions
- Help with caregiver accountability
- Reduce clutter and unnecessary paperwork
- Reduce Payroll time
Rather than using outdated time tracking methods like paper time sheets, EVV allows caregivers to clock in and out on their smartphones using tools like the Rosemark Caregiver App (RCA).
With features such as Offline Mode, a color-coded calendar for viewing shifts, voice messaging, shift details and notes, map navigation, and travel time tracking, the RCA is a great tool for caregivers and will make capturing EVV much easier for agencies.
